Clean up your pipeline before the weekly review

Short answer: Export your open deals, upload the file to Copilot Chat, and ask for deals with no activity in 14 days, no next step, a close date in the past, or a stage that hasn't moved. Get a table with the owner and one fix per deal. Fix the data before the review, not during it.

Pipeline reviews go badly when the manager finds the problems before you do. Ten minutes with Copilot the day before means you walk in with the stale deals already flagged and a plan for each. That's what a rep who runs their own business looks like.

A common situation (composite)

We review the pipeline every Monday.
Half my close dates are from last month.
I find out which deals are stale when my manager asks.

What you get

  • Data: a CRM export of your open deals.
  • Does: flags deals that are stale or slipping.
  • Output: a hygiene table with one fix per deal.
  • How often: the day before every pipeline review.

Before you start

  1. Needs: Microsoft 365 Copilot Chat with the export uploaded. Not sure what you have? Start here.
  2. Microsoft's label for this scenario: Microsoft 365 Copilot.
  3. Where: Copilot Chat, or Copilot in Excel.
  4. Access: Copilot only uses content you already have permission to open. Use only information your company allows in Copilot.

The steps

  1. Export your open opportunities with stage, amount, close date, next step and last activity date.
  2. Upload the file to Copilot Chat, or open it in Excel and use Copilot there.
  3. Run the prompt and check five rows against the CRM.
  4. Fix the CRM records you can fix today.
  5. Run the follow-up to get your talking points for the review.

Copy this prompt

This is my open pipeline export. Today is [date].

List every deal that has any of these problems:
- No activity in the last 14 days
- No next step, or a next step with no date
- A close date that has already passed
- The same stage for more than 30 days

Output a table: Deal | Owner | Amount | Problem | One specific fix.
Sort by amount, highest first. Use only the data in the file.

Make it better

Run this next, in the same chat.

For the top five deals by amount, write one line each I can say in the pipeline review: where it really stands, what I'm doing this week, and whether the close date is still real. If a deal should move out of this quarter, say so.

(Prompt from stuckwithcopilot.com/guides/pipeline-review/)

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.

What a good result looks like

Every flagged deal really has the problem it's flagged for when you check the CRM. The fixes are actions you can take this week, not general advice.

If a feature is missing

If you can't upload files, paste the columns you need for 20 to 30 deals at a time. Leave out customer contact details.

Make it smarter

Keep a short "What it got wrong" note. Paste it above the prompt next time, like "Don't invent dates".

Not sure what to ask? Copy the quick note for your Copilot admin.

Questions people ask

Clean up your pipeline before the weekly review?

Export your open deals, upload the file to Copilot Chat, and ask for deals with no activity in 14 days, no next step, a close date in the past, or a stage that hasn't moved. Get a table with the owner and one fix per deal. Fix the data before the review, not during it.

What do I need for this?

Microsoft 365 Copilot Chat with the export uploaded. If you can't upload files, paste the columns you need for 20 to 30 deals at a time. Leave out customer contact details.

Is it OK to put pipeline data into Copilot?

Use your work Copilot, not a personal AI tool, and follow your company's rules for CRM data. Keep only the columns you need.

Can Copilot update the CRM for me?

Not from Copilot Chat. If your company has the Sales agent connected to your CRM, it can help with updates. Otherwise, fix the records yourself.

What about MEDDICC or another qualification method?

Add your method's fields to the export and ask Copilot to list which fields are empty for each deal. It shows gaps. You still judge the deal.

Next step

Try it once, then make it yours.

Run the prompt on one real task this week. Then pick your next workflow.
