Write a useful email that sounds like you
Work chat • pasted notes
Short answer: Give Copilot the facts, who the email is for, and what you want, plus a short sample of your own writing with nothing private in it. It writes two short drafts in your voice and marks missing facts as [NEEDS INPUT]. You can do this in the work chat and paste the result into your email app.

A common situation (composite)
Every email Copilot writes for me starts with "I hope this finds you well."
Nobody would believe I wrote it.
How do I make it sound like me?
What you get
Two short drafts in your voice. Missing facts show up as [NEEDS INPUT], so nothing gets made up.
- Data: the facts, who it is for, the goal, and a short safe sample of your writing.
- Does: writes two drafts and lists what it assumed.
- Output: two drafts and two subject lines for you to review.
- How often: any time an email matters.
Time saved: about 10 min a week (estimate)
Before you start: 2 minutes of setup
- Which Copilot: the work chat (Microsoft 365 Copilot Chat) is enough. You do not need an Outlook Copilot button.
- Access: use only facts your company allows in its approved Copilot. Ask IT if you are not sure.
- Your style sample: pick a few lines you wrote that hold no confidential or personal information. Features you see depend on your admin settings.
The steps
- List the goal of the message, the known facts, the role of the person you are writing to, and the next step you are allowed to offer.
- Add a short style example with no confidential or personal information.
- Ask for two short drafts with clear placeholders for missing information.
- Check every promise and number against your facts. Send only after your own review, in your approved work tool.

Before and after
Before (example, fictional)
facts: sample order delayed, new ship date not confirmed to: a customer contact (fictional) goal: say sorry, say what happens next my style: "Quick update from me. Here is where things stand."
After (example output, fictional)
Subject 1: Quick update on your order Subject 2: Your order: where things stand Hi [NEEDS INPUT: name], Quick update from me. Your order is delayed, and I am sorry about that. We do not have a confirmed new ship date yet. I will email you as soon as we do, by [NEEDS INPUT: date]. Thanks for your patience, [Your name] Assumptions / missing facts - Customer name - When you will send the next update
If a feature is missing
Use chat for the draft, then copy it into your email app. This does not require an Outlook Copilot button.
Make it smarter
Keep three of your own best emails (with no private details) in a note. Paste one as the style example each time. Swap it when a draft feels off.
Writing a status email? Start with the weekly project update prompt, then use this one to fix the tone.
Not sure what to ask? Copy the questions for your Copilot admin.
