Make an action list from meeting notes

Work chat • pasted notes

Jump to the prompt ↓

Short answer: Paste meeting notes you are allowed to share into the work chat and ask for a list of who agreed to do what, and by when. Ask Copilot to quote the note behind each action, and keep suggestions apart from real commitments. You do not need automatic transcripts or a recording for this.

A common situation (composite)

Copilot turned "maybe we should" into a task with my name on it.
Now I have to check every line it wrote.
How do I get a list of what people actually agreed to?

What you get

A clear list of who said they would do what, and by when. Suggestions stay separate from real commitments.

  • Data: meeting notes you are allowed to share, pasted in.
  • Does: pulls out what was decided, who agreed to do what, and what is still open.
  • Output: three small tables, each line tied to a note.
  • How often: after each meeting.

Time saved: about 15 min a week (estimate)

Our estimate, for a few meetings a week. We have not measured it. You still check every line.

Before you start: 2 minutes of setup

  1. Which Copilot: the work chat (Microsoft 365 Copilot Chat) is enough, because you paste the notes yourself.
  2. Access: use only notes you are allowed to share in your company's approved Copilot. Ask IT if you are not sure.
  3. No recording needed. Automatic meeting transcription and recap have their own prerequisites. They are not part of this text-only exercise. Your admin settings decide what you see.

The steps

  1. Start with approved notes or the fictional practice text. Number each line.
  2. Ask for separate tables for decisions, clear commitments, and unanswered questions.
  3. Ask Copilot to quote the note behind each action. Do not let a suggestion turn into an assigned commitment.
  4. Check each name and deadline before you share the table with colleagues.

Copy this prompt

From these numbered meeting notes, extract explicit decisions and commitments.

Columns: action, stated owner, stated deadline, supporting note.
Use UNKNOWN when absent.
Put suggestions in a separate table.
List unanswered questions.
Do not infer that someone agreed to work because they were mentioned.

If a feature is missing

Use a manual note export approved by your company. No recording or meeting bot is required for this exercise.

Make it smarter

Ask people to confirm their line before you share the table. Add one line to a "What it got wrong" note each time, like "It turned a maybe into a task". Paste that note above the prompt next time.

Need to send the result around? Paste the commitments table into the weekly project update prompt.

Not sure what to ask? Copy the questions for your Copilot admin.

Questions people ask

How do I turn meeting notes into an action list with Copilot?

Use meeting notes you are allowed to share, and paste them in. Automatic meeting transcripts and recaps need their own setup. They are not part of this text-only practice.

What if I cannot find a Copilot feature?

Export or copy the notes by hand, in a way your company approves. You do not need a recording or a meeting assistant for this practice.
