Turn messy notes into a weekly project update

Work Copilot Chat • pasted notes

Jump to the prompt ↓

Short answer: Paste your rough notes into the work chat and use the prompt on this page. Copilot drafts a short update from what you paste, with risks and open questions called out. It does not need access to Teams, Outlook, or SharePoint, and you check the draft before you send it.

A common situation (composite)

It's Thursday night and my status update is due tomorrow.
My notes are half-sentences, and they list two different launch dates.
Can Copilot turn this into something I can send?

What you get

You paste your rough notes. Copilot gives you back a clean update.

  • Data: your own notes, pasted in. Nothing else.
  • Does: sorts them into the four sections of a status update.
  • Output: a short update, an action table, and a short email draft for you to check.
  • How often: once a week, before your status meeting.

Time saved: about 15 min a week (estimate)

Before you start: 2 minutes of setup

  1. Check which Copilot you have. Sign in with your work account. Many people have Microsoft 365 Copilot Chat, the work chat. Some have a paid Microsoft 365 Copilot license too. This guide only needs the chat, because you paste the notes yourself. Not sure? Use the Which Copilot do I have? guide.
  2. Check what you may paste. Use only information your company allows in its approved Copilot. Ask IT if you are not sure.
  3. Know that screens differ. Your admin decides which features you see. If your screen looks different from someone else's, that is normal.

You do not need Teams, Outlook, or SharePoint access for this. Copilot reads only what you paste. Asking for a project by name does not mean it can find the files.

The steps

  1. Open your work Copilot Chat.
  2. Number your notes, one fact per line. Start with the fictional notes below.
  3. Copy the prompt below. Paste it into the chat.
  4. Paste your numbered notes where it says [paste your notes here]. Send.
  5. Check every date and owner against your notes. Each line should point to a note number.
  6. Fix anything wrong. Then copy the update into your normal email or document. You decide when to send it.

Copy this prompt

Use ONLY the notes below to write my weekly project update.

Sections: Progress, Risks, Decisions needed, Next actions.

Rules:
1. After each fact, add the note number in brackets, like [3].
2. Make an action table with Task, Owner, Due date. If an owner or date is missing, write UNKNOWN.
3. If two notes disagree, list it under Risks. Do not pick one.
4. Do not make up progress, owners, dates, budgets, or numbers.
5. Then write a short email (under 100 words) for me to review. Do not send anything.

WEEKLY UPDATE: Sample website project

Progress
- The navigation draft is done (Monday). [1]

Risks
- Launch date conflict: Thursday [3] or next Tuesday [4]. No approved change.
- The user survey has no owner. [5]
- There is no agreed budget. [6]

Decisions needed
- Which launch date is correct? [3][4]
- Do we run the survey, and who owns it? [5]

Next actions
Task Owner Due date
Review FAQ Morgan Friday [2]
User survey UNKNOWN UNKNOWN [5]
Confirm launch UNKNOWN UNKNOWN [3][4]

Email draft
Hi team, the navigation draft is done. Morgan is reviewing
the FAQ by Friday. Two things need a decision: our notes
show two launch dates, and the survey has no owner. We also
have no agreed budget yet. Can we settle these at our next
meeting? Thanks.

Make it smarter

Keep a short "What it got wrong" list. Each week, add one line, like "It guessed an owner" or "It dropped a date". Paste that list above the prompt next week, with "Avoid these mistakes:". If your version lets you save prompts, save this one so you do not paste it every time. Ask IT if you do not see that option.

Got your notes from a meeting? Run meeting notes to actions first, then paste the action table in here.

Not sure what to ask? Copy the questions for your Copilot admin.

Questions people ask

How do I write a weekly project update with Copilot?

Paste your notes into the chat yourself. Copilot can draft the update from what you paste. You do not need Copilot to reach Teams, Outlook, or SharePoint for this.

What if I cannot find a Copilot feature?

Paste the notes straight into the work chat your company approved. Typing a project name does not mean Copilot can find its files.

Next step

Practice first, then try your own notes.

Download the fictional notes and run the prompt once. Then pick your next workflow.
