Word, Copilot pane
Short answer: Open a blank Word document, open Copilot, and paste the prompt. Type / to add your discovery notes and a past proposal as references. Select Generate, review, then keep, regenerate, or refine with a follow-up. You still check every price and promise.

You've seen people upload a few docs to Claude or ChatGPT and ask for a proposal. Here's how in Copilot: open Word, describe the proposal, and type / to pull in your notes and an old proposal from OneDrive or SharePoint.
A common situation (composite)
I copy last quarter's proposal.
Then I spend an hour finding the old customer's name in it.
I want a first draft built for this customer.
What you get
- Data: your discovery notes and one past proposal in OneDrive or SharePoint.
- Does: drafts a new proposal using those references.
- Output: a structured Word draft.
- How often: each new deal.
Before you start
- Needs: Microsoft 365 Copilot. Not sure what you have? Start here.
- Where: Word, Copilot pane.
- Access: Copilot only uses content you already have permission to open. Use only information your company allows in Copilot.
The steps
- Open a blank document in Word and open Copilot.
- Paste the prompt and fill in the brackets.
- Type / and pick your discovery notes and a past proposal you're allowed to reuse.
- Select Generate. Keep it, then fix prices and dates by hand.
Copy this prompt
Draft a proposal for [customer] using my discovery notes and the past proposal as a structure guide.
Sections: Their goals, What we'll do, Timeline, What we need from them, Pricing (leave as [PRICE] placeholders), Next steps.
Use their words from the notes for their goals.
Don't copy any other customer's name or details from the past proposal.
Mark anything you're unsure of with [CHECK].

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.
What a good result looks like
No leftover names from the old proposal. Every [PRICE] and [CHECK] is filled by you.
If a feature is missing
Without the / reference option, paste your notes into the prompt and describe the structure you want.
Make it smarter
Keep a short "What it got wrong" note. Paste it above the prompt next time, like "Don't invent dates".

Make the proposal harder to say no to
Once the draft exists, two more passes make the difference: match it to what the customer said they want, and read it the way the buyer will.
- Match their goals: point Copilot at your notes and ask it to tie each section to a goal the customer stated.
- Read it like the buyer: ask what's vague, what lacks proof, and what cost will surprise them.
- Answering an RFP? Start with the RFP first-pass guide.
Prompt
Read this proposal as the [buyer role] at [company] who has to defend it to their boss. List:
- Anything vague
- Any claim without proof
- Any cost they'll be surprised by
- The three questions they'll ask first
Don't rewrite anything yet. Point to the section for each item.

Make it better

Now fix the top three issues you found. Keep my numbers and claims exactly as they are, and mark every change so I can review it.
