Use Copilot during a live sales call

Teams

Jump to the prompt โ†“

Short answer: In a Teams meeting with transcription on, open Copilot and ask short questions like "What did they just say about pricing?" or "What questions haven't we answered?". Use the answers as prompts for you, not lines to read out. Tell everyone the call is being transcribed.

Great reps listen hard, but nobody catches everything in a 45-minute call. Copilot in Teams keeps track while you focus on the person. You come out of the call with the details right, and that's what gets the next meeting.

A common situation (composite)

The customer asked about discount options.
I was looking at my notes and missed half of it.
I can't ask them to repeat it again.

What you get

  • Data: a Teams meeting with transcription turned on.
  • Does: answers quick questions about what was said so far.
  • Output: one-line reminders and follow-up questions while you talk.
  • How often: every customer call on Teams.

Before you start

  1. Needs: Microsoft 365 Copilot, and transcription turned on in the meeting. Not sure what you have? Start here.
  2. Where: Teams meeting, Copilot button in the meeting controls.
  3. Access: Copilot only uses content you already have permission to open. Use only information your company allows in Copilot.

The steps

  1. Start transcription at the top of the call and tell the customer it's on. Some customers will say no, and that's their call.
  2. Open Copilot from the meeting controls and keep the pane small.
  3. Ask short questions with the prompts below when you need a catch-up.
  4. Facilitator is for internal meetings. Microsoft doesn't support it in external meetings, and external participants can't see its notes, so on customer calls use Copilot instead.
  5. After the call, use the meeting recap for notes and follow-up.

Copy this prompt

Quick: what did the customer just say about [pricing / timeline / a competitor / next steps]? Give me their words in one line, then one follow-up question I could ask right now.

Only use what was said in this meeting. If they haven't talked about it, say so.

Make it better

Run this next, in the same chat.

List the questions the customer asked in this meeting that we haven't fully answered yet, and any concern they raised more than once. One line each, newest first.

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.

What a good result looks like

Short answers that match what you heard, with "not discussed" when that's the truth. No suggested facts about pricing or competitors that nobody said.

If a feature is missing

If you don't see Copilot in the meeting, transcription may be off or you may not have a Microsoft 365 Copilot license. Keep a notes doc open and use the meeting recap guide after the call.

Make it smarter

Keep a short "What it got wrong" note. Paste it above the prompt next time, like "Don't invent dates".

Not sure what to ask? Copy the quick note for your Copilot admin.

Questions people ask

Use Copilot during a live sales call?

In a Teams meeting with transcription on, open Copilot and ask short questions like "What did they just say about pricing?" or "What questions haven't we answered?". Use the answers as prompts for you, not lines to read out. Tell everyone the call is being transcribed.

What do I need for this?

Microsoft 365 Copilot, and transcription turned on in the meeting. If you don't see Copilot in the meeting, transcription may be off or you may not have a Microsoft 365 Copilot license. Keep a notes doc open and use the meeting recap guide after the call.

Do I have to tell the customer?

Yes. Teams shows a notice when transcription starts, and you should say it out loud too. Ask your manager what your company's policy is for customer calls.

What is Facilitator?

Facilitator is a Teams agent that takes live notes, tracks the agenda and answers questions in meetings. Microsoft includes it with a Copilot license. It's on by default, but your admin can block it. It only works in scheduled meetings, not instant meetings, Teams calls or channel meetings, and Microsoft doesn't support it in external meetings, so it's for internal prep and debriefs rather than customer calls.

Can Copilot show CRM info during the call?

Only if your company set up the Sales agent and connected it to your CRM. Without it, Copilot in the meeting only knows what was said in the meeting.
