Answer an upset customer fast, with the facts straight
Copilot Chat or Outlook
Short answer: Don't ask Copilot for a reply first. Ask it to summarize the complaint: what went wrong, what they want, what's already been promised and the dates. Confirm the facts with your team, then ask for a reply that owns the problem, says what happens next and by when, and uses only the facts you confirmed.

When a customer is angry, writing the reply isn't the slow part. Figuring out what actually happened is. Let Copilot sort the thread so you spend your time getting the facts right. A fast, honest answer keeps the account, and the rep who keeps accounts is the one who gets trusted with bigger ones.
A common situation (composite)
The customer has sent four emails in two days.
Three people on our side replied with different answers.
I need to fix this today without promising something we can't do.
What you get
- Data: the complaint thread and the facts your team confirms.
- Does: summarizes the problem, lists what to check, then drafts the reply.
- Output: a fact summary, questions for your team, and a reply draft.
- How often: whenever a customer is unhappy.
Before you start
- Needs: Microsoft 365 Copilot Chat with the thread pasted in, or Copilot in Outlook to read the thread directly. Not sure what you have? Start here.
- Where: Copilot Chat or Outlook.
- Access: Copilot only uses content you already have permission to open. Use only information your company allows in Copilot.
The steps
- In Outlook, use Summary by Copilot on the thread, or paste the thread into Copilot Chat.
- Run prompt 1. Don't let it draft the reply yet.
- Take the questions to your product or support team and get real answers.
- Run the follow-up prompt with the confirmed facts.
- Read the reply as the customer would, then send it yourself.
Copy this prompt
Summarize this complaint thread:
- What went wrong, in their words
- What they want from us
- What anyone on our side has already promised, with dates
- Anything people on our side said that contradicts each other
Then list three questions I need answered by our product or support team before I reply.
Don't draft a reply yet. Only use what's in the thread.

Make it better
Run this next, in the same chat.
Here are the confirmed facts: [paste facts from your team].
Draft a reply that:
- Says plainly what we got wrong, without blaming anyone
- Says what happens next, who does it, and by when
- Uses only the facts above, with no new promises
- Stays under 150 words
No "we apologize for any inconvenience" and no "we value your business". Sound like a person who's going to fix this.

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.
What a good result looks like
The summary matches the thread. The reply owns the problem, gives a date you've confirmed, and doesn't promise anything your team hasn't agreed to.
If a feature is missing
If you can't use Copilot in Outlook, copy the thread into Copilot Chat. Remove account numbers or payment details first.
Make it smarter
Keep a short "What it got wrong" note. Paste it above the prompt next time, like "Don't invent dates".
Not sure what to ask? Copy the quick note for your Copilot admin.

What do I need for this?
Microsoft 365 Copilot Chat with the thread pasted in, or Copilot in Outlook to read the thread directly. If you can't use Copilot in Outlook, copy the thread into Copilot Chat. Remove account numbers or payment details first.
Should I let Copilot write the apology?
Let it draft, then make it yours. Customers can tell a template from a person. Add one specific line about their situation.
What if the customer is right and we messed up badly?
Say so. Copilot can keep the wording clear and calm, but the decision about refunds or credits is your manager's. Get that agreed before the reply goes out.
Can I use this for a phone call instead?
Yes. Use prompt 1 to get the facts straight, then ask Copilot for three things to say in the first minute of the call.
Try it once, then make it yours.
Run the prompt on one real task this week. Then pick your next workflow.
