You've seen people dictate a process to ChatGPT and get a clean SOP. Here's how in Copilot: draft it in Word, with your notes pasted in or referenced with /.

A common situation (composite)

Our process works because Dana knows it.
Dana is going on leave.
I need it written down this week.

What you get

  • Data: rough process notes or a meeting about the process.
  • Does: drafts a standard operating procedure.
  • Output: numbered steps with roles and checks, plus a revision table.
  • How often: whenever a process changes.

Before you start

  1. Needs: Microsoft 365 Copilot. Not sure what you have? Start here.
  2. Where: Word, Copilot pane.
  3. Access: Copilot only uses content you already have permission to open. Use only information your company allows in Copilot.

The steps

  1. Get rough notes from the person who does the work. Bullets are fine.
  2. Open Word, open Copilot, and paste the prompt and notes, or reference them with /.
  3. Generate the draft.
  4. Walk through it with the process owner and fix every step they flag.

Copy this prompt

Turn these notes into a standard operating procedure.

Title: [process name]
Sections:
1. Purpose (one line)
2. When to use it
3. Roles (who does what)
4. What you need before starting
5. Numbered steps. Each step starts with a verb. Add a "Check:" line where a mistake is likely.
6. What to do if something goes wrong
7. Revision table: date, change, owner

Use only what's in the notes. Mark gaps as [ASK OWNER].

Notes:
[paste notes]

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.

What a good result looks like

Every [ASK OWNER] gets answered by the person who does the job.

If a feature is missing

This works in Copilot Chat too. Paste the notes and copy the result into Word.

Make it smarter

Keep a short "What it got wrong" note. Paste it above the prompt next time, like "Don't invent dates".

Not sure what to ask? Copy the quick note for your Copilot admin.

Sales version: training notes

New product, new pricing, new process: the same method turns rough notes into training a seller can follow.

  • Product training: turn release notes into a one-page "how to explain it" guide.
  • Practice: add a role-play prompt at the end so people can test themselves.

Prompt

Turn these notes into a one-page training guide for sellers: what it is, who it's for, three things to say, two objections and answers, and what not to promise. Use only these notes: [paste].

Make it better

Run this next, in the same chat.

Add five quiz questions with answers at the end, and one practice prompt a seller can paste into Copilot Chat to role-play a buyer.
