Make a SharePoint agent that answers from your team's files
SharePoint, Create an agent
Short answer: In a SharePoint document library, select the files or folder and choose Create an agent. Customize the name, knowledge sources and instructions, then share it with a link or in Teams. Each person only gets answers from files they can already open.

You've seen people build a custom GPT or Claude Project loaded with team docs. Here's how in Copilot: create an agent right from a SharePoint library and share it with your team in Teams.
A common situation (composite)
I answer the same five questions every week.
The answers are all in our SharePoint.
Nobody can find them.
What you get
- Data: files in one SharePoint site or library.
- Does: answers questions from those files.
- Output: a shareable agent.
- How often: build once, update as files change.
Before you start
- Needs: To create the agent: a Microsoft Copilot license and edit rights on the site. To use it: a Copilot license, or pay-as-you-go billing for SharePoint agents set up by your organization. Not sure what you have? Start here.
- Where: SharePoint, Create an agent.
- Access: Copilot only uses content you already have permission to open. Use only information your company allows in Copilot.
The steps
- Open the SharePoint library and select the files or folder you want the agent to use.
- Select Create an agent from the command bar.
- Edit the name, sources and instructions. Paste the instructions below.
- Try it with real questions, then share the link or add it to a Teams chat.
Copy this prompt
You answer questions about [team]'s [policies / process docs / product sheets].
Only answer from the files in your sources. Name the file for every answer.
If the answer isn't in the files, say "I can't find that in our files" and suggest asking [contact].
Keep answers under 100 words. Don't give legal or HR advice beyond what the files say.

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.
What a good result looks like
Ask five questions you know the answer to, and one you know isn't covered.
If a feature is missing
If you don't see Create an agent, you need a Copilot license or edit rights on the site. Plan with the first agent guide and ask IT.
Make it smarter
Keep a short "What it got wrong" note. Paste it above the prompt next time, like "Don't invent dates".
Not sure what to ask? Copy the quick note for your Copilot admin.
Sales version: an RFP answer library
A SharePoint agent pointed at your approved RFP answers is one of the most useful things a sales team can build.
- Approved only: point it at a library of approved answers, not drafts.
- No guessing: tell it to say NEEDS SME when the library doesn't cover a question.
- Full process: see the RFP first-pass guide.
Prompt
Answer these RFP questions using only the files in this library: [paste questions]. For each answer, name the file. If the library doesn't answer a question, write NEEDS SME.

Make it better
Run this next, in the same chat.
Which of these questions came up in past RFPs in this library? Show me the past answer and the file it's in, so I can reuse what's already approved.

Data tip: use this with your work Copilot, and leave out passwords, payment details and anything your company marks restricted.
